Professional Call Minders will provide you with a local rate number to divert your calls to. You can divert as many phones to this number as you like, landlines, mobiles, 0845 number etc. See frequently asked questions below...

Our team of call handlers will answer any calls that come through that line in your company name, acting virtually as your receptionist. Here’s where our professionalism and customer services skills take over as we efficiently and effectively deal with your customers and their queries. Regular callers will be recognised, important calls handled with the urgency they require and sales calls filtered.

Our communication levels with our customers are strong, therefore making our service all the more effective.

Messages are sent through our bespoke software which holds your message history so you can look back at any time and see:

  • When the call came in – date and time
  • The message – incl. name, company, telephone and what it is regarding
  • Who it was sent to
  • Whether the call was transferred / emailed / SMS
  • Name of the call handler who took the call.

Allowing us to become the safety net of your business provides the security of your callers being greeted by a real person on every call. Statistically, over 80% of callers hang up or do not leave a message upon hearing a voicemail. Missed calls, means missed business opportunity.

How much will it cost

How do I divert my phone?

Professional Call Minders will provide you with a local rate number to divert your calls to. You can divert as many phones to this line as you like – multiple office extensions, mobiles etc. All calls that come through on this line will be answered in your company name.

There are different scenarios for you to divert your calls; you can divert if you line is busy, if the call is not picked up within 6 rings or all your calls. To see how to do this, click here to download a guide PDF.

What happens when more than one call comes in at the same time?

If two calls come in at the same time, two receptionists will answer the calls and deal with them accordingly. Your caller will never hear an engaged tone.

Do you use scripts?

No, we act as a professional receptionist and therefore feel the use of scripts would inhibit the seamless service we strive to provide.

Do you supply non/geographical phone and fax numbers?

Professional Call Minders have trusted suppliers that we can put you in touch with should you need a local or non-geographical number. Also should you require a fax to email service, we can put you in touch with a company who can provide this.

As a client, if you needed to receive infrequent or a one-off fax, we do not hesitate to let you use our number. The fax will be forwarded to you by email.

Do you do additional admin duties?

We are happy to carry out additional admin duties such as; diary management, information pack / brochure distribution, media response and outbound call projects.

Is there a notice period?

If you wish to change your call tariff, we need to be advised of this by the 15th of the month to implement the change for the 1st of the following month.

There are no contractual obligations concerning using Professional Call Minders however, should you wish to discontinue using the telephone answering service we ask that you provide one month’s written notice out of courtesy.

If your line is not used for a period of 90 days or more and you have not communicated with us, your line will be disconnected. You will still be charged your call tariff for the months that you have not used the service. Notification will be sent prior to disconnection.

Can I see a history of my messages?

Each client is provided with log in details to our online system Message Bank. This stores a history of all your messages so you can see exactly what calls have been taken on your behalf and how your calls are being handled. You can access Message Bank 24/7

The Professional Call Minders team provide full time receptionist cover opening Monday to Friday 8am to 6pm.

What happens out of hours?

Each client has their own voicemail with a personalised out of hours message which we can record for you or you can record your own. Remote access codes will be provided and you will be alerted the following morning when there are messages for you to listen to.
