Databases come in all shapes and sizes. You might have a collection of business cards or Excel spreadsheets or a full blown CRM, or a combination of all three. It’s easy to feel overwhelmed with databases particularly as they grow. However the important thing to remember is that your database is a great starting point whatever it looks like right now. The objective is to get the database working but the first step is to create order. Excel is a great tool for this.
Cleanse, update and generate
So the first stage is to import or add/merge all your records to an Excel spreadsheet. Make sure that all the columns are aligned and remove all duplicate records. As databases evolve, very often different people will be inputting details. This happens in most businesses and can often result in there being inconsistencies. So just make sure that all the details are the same eg, upper case/lower case etc.

With a cleansed and updated database, you’re ready to start generating income! The first stage is to send an eshot to the whole database, the subject could be anything, the purpose is to further refine any duplicates or contacts who are no longer there. The second stage is to segment the data into prospects, clients, suppliers etc.
The third stage is to pick up the phone! Clients always appreciate a call from companies who are actively looking for ways to improve their services. In addition clients are much more likely to buy other services that you provide. So that’s a positive conversation to have. Prospects will be varying degrees of cold to warm, so it’s time to sort the wheat from the chaff with a phone call. It’s just the quickest, easiest and most effective way to communicate with your future clients.
Continue to use eshots and social media to engage and use the phone for individual 1:1 development. Never push too hard, it doesn’t work, just let the prospect take the lead and go at their pace.
