The constant interruption of phone calls can be a problem when you want to spend 1:1 time with your clients. Without some kind of back up you might end up losing calls or bookings. That’s where our diary management service can add real value. By answering your calls and managing your diary you don’t have to worry about losing calls or bookings and that leaves you to concentrate on what you do best.
How does it work?
Your diary would be shared with us via a secure log-in. You decide which areas we access so that we only see what we need to see. The great benefit of sharing the diary is that you can see any changes to bookings at a glance. Our diary management team will ensure that your diary is up to date at all times and in addition we can also generate a message to let you know that a booking has been made, or that there has been a change to a booking.
Don’t have a diary system?
Don’t worry, we have a great deal of experience in this area and can suggest a number of diary management systems that would be right for you.
What about new enquiries?
You may have a different process for a new enquiry. That may well involve some factfinding so you have some background information. As part of your diary management service we can follow any processes for registering a new client, you decide how you want us to manage each type of call.
What about regular callers?
Your regular callers are your VIPs, you have built a relationship with these clients and the diary management service needs to be seamless. We have a system in place to identify your regular callers so they don’t have to repeat their details. You tell us who your VIP clients are and any additional details that will help in handling their calls and making them feel just as valued as you make them feel.
Size doesn’t matter
Our diary management team can manage one diary for one person all the way to multiple diaries within organisations. We just follow the processes that you’ve developed and it’s exactly as if we are part of your team.
What about cancellations?
If somebody needs to cancel an appointment we can make the changes in the diary and also make the person aware of your cancellation policy if that’s appropriate.
What about taking payments over the phone?
Our diary management team can take payments from callers. Payment processing is not a standard part of the service and charges will apply.
An experienced team for a fraction of the cost
Prices start from as little as £59.00 per month and that includes 20 free calls. If you have your own diary system there may be costs to add our team to your licence. If you don’t have a diary system then there are a number of cost effective options – please do get in touch for details.
What happens out of hours?
Lines are covered Monday – Friday 8.00am – 6.00pm. Outside of these hours your callers can leave messages on your personalised voicemail. Those messages can be emailed to you as sound files straight away – or our team can transcribe your messages which will be sent the next working day.
